AV Resource Requests

The “AV Resource Request Form” has replaced av.law.yale.edu. For Course AV resource requests and support, you will need to use the “AV Resource Request Form.” If you are scheduling an event and need AV resources and support, please use the default form, “Room Request – Faculty and Staff” form to request the resources with your event.

Switch to the “AV Resource Request Form”

When you start an event, the default form will be “Room Request - Faculty and Staff”

  1. Click on the “Select Form Configuration” drop down and choose “AV Resource Request Form”

NOTE: A dialog box will appear that says “Any changes will be lost when switching form configurations. Do you wish to proceed?” Click Yes to load the AV Resource Request Form.

 

  1. Enter the Request Name

  • Request Name should be the full course name. This consists of the course number, section, name, and primary instructor (e.g. LAW 21608 01 Torts and Regulation – Calabresi). If the full course number and name of instructor are too long, please shorten to show course number, section, and name of instructor (e.g. 21608 01 – Calabresi).  

  1. Enter the Primary Sponsoring Organization

  • This section is for billing purposes and events. Type to start the search for your appropriate selection. Please select “Staff (Individual) Sponsored” if you are an administrative assistant. Instructors should select “Faculty (Individual) Sponsored”.

  1. Enter Requested Date/Time Information About Your Event’s First Occurrence

  • Specify the date and times of the first occurrence of the Course. If the start date is not on the hour or half hour, type in the start type manually.

  1. For Courses, click the “Repeating Pattern” button and select how the course meeting pattern will repeat. 25Live allows you to create repeating events defined as either ad hoc dates (without a pattern) or as a pattern (daily, weekly, monthly).

  • Select the appropriate pattern type from the dropdown and fill in with the course meeting time schedule.

  • Choose to end on a certain date by checking Repeats through and choosing the last day of the Course.

  1. Request Resources

    1. Search for the resources by choosing the “Audiovisual Resources” public search to pull up a list of AV classroom resources or type in the resource you would like to request and click Search to show available resources to request.

  NOTE: This list of resources is for items that are not a part of the standard room configuration (e.g. projector, screens, etc.). If you do not see something listed, please tell us in comments at the bottom of the form.

b. Click the blue “Request” button to add the resource for the courses.

c. If you Request Video Conferencing (Zoom), you can add the zoom link or meeting ID to Instructions to aid in event setup.

  1. Attach Files

  • If you would like a PowerPoint uploaded onto the room PC, you can upload it under Attached Files. You may attach up to 5 files no larger than 25 MB a piece to your event. Please email any additional files to ylsav@yale.edu with your requested information.

  • Use the Choose File button to optionally attach one or more files.

    • You can attach up to 5 files

    • Files may not exceed 25MB

    • Allowed file types: PPT, PPTX, PDF, TXT, RTF, JPG, JPEG, PNG, GIF, DOC, DOCX, XSL, XSLX, CSV

  1. Additional Event Information

  • Location: To add your course location, search the assigned room number and select the correct room.   

Important: Ensure you have submitted the Location of Your Corse. If no location is submitted, your request may be denied.  

  • Requestor Phone Number: Add the requestor’s phone number incase we need to contact them with any questions.

  1. Event Contacts

  • Onsite Contact is designated as the primary avenue for communications with AV Services. The Requestor and Scheduler fields are set by default. Please enter the primary instructor for the course under the instructor field.  

  • To search for Contacts, click on the search bar and start typing a name.

  1. Comments

  • Please add any additional information or AV classroom needs, microphone requests, or comments in the comments section.

  1. Agreement confirmation and Save the request
