Faculty Expense Guidelines

  1. Yale Law School operates primarily on a permission-based system for some faculty-related expenses.  Faculty should email Jennifer Lia and/or Sheila Daykin for expenses that require prior approval.  Below are the general guidelines.

Class-Related Expenses

for class-related expenses (in & out of classroom / expenses which benefit the students)

Program = PG00003 Teaching & Instruction

NO PERMISSION REQUIRED

No permission is required for expenses within the following guidelines. 

  • YPPS/TYCO copying of class materials

  • Lunch with visiting class speaker: up to $50/person (incl. alcohol, tax, & tip) / max of 10 attendees

  • Dinner with visiting class speaker: up to $75/person (incl. alcohol, tax, & tip) / max of 10 attendees

  • The general T&I account should only to be used for classes withOUT their own COA. 

  • A class with a COA will be identified by a non-PJ000001 PJ; these have an annual budget and do not require permission (as long as the expenses stay within the budget)

Any additional expenses not listed here require permission.

PERMISSION REQUIRED

Permission is required for all visiting class speakers’ travel expenses prior to the visitor’s arrival.  Below are ideal budgets for guests from NYC & DC. 

  • Visitor travel expenses – day travelers (max of $250)

  • Visitor travel expenses – overnight travelers (max of $750)

Faculty Overhead

general expenses which the Law School covers (for both faculty & faculty support)

  • Office supplies (through YLS Supply Room)

  • Copying done at a YLS machine

  • USPS postage (through the YLS MailRoom)

  • FedEx charges (through eShip Global)

Small Groups

for orientation & social activity expenses related to first year students

Small group classes consist of 15-20 students

Budget = $1,750 per group

Can take court trips to NYC, DC, or Boston; each has different reimbursement rate - please contact for more info

Large Groups

Budget = $25 per person within the group

Faculty Commuting & Lodging

for travel expenses related to visiting faculty members’ weekly commute to New Haven in order to teach at YLS over the course of the semester

Jennifer Lia will email faculty assistants at the beginning of the semester with charging instructions for each visitor along with a list of what is allowed.
